The information we collect

We collect different information depending on how you deal with us.

If you enquire or request a quote

Your name, organisation, work email address, telephone number, the training you are interested in, the number of learners, your location and anything else you include in your message.

If you book training

Contact and billing details for your organisation, the site address where training will take place, and purchase order or invoicing information.

If you attend a course as a learner

Your name, date of birth where the qualification requires it, employer, the course attended, your assessment results, and your certificate details. For some qualifications we also record information you choose to tell us about a disability, learning need or medical condition, so that we can make reasonable adjustments. That is special category data and we treat it accordingly.

Why we use it, and our lawful basis

• To answer enquiries and provide quotes — our legitimate interest in responding to a request you made.
• To deliver training and issue certificates — performance of our contract with your organisation, and our legitimate interest in maintaining accurate training records.
• To register learners with awarding organisations — necessary to award the qualification, and to meet the requirements placed on us as an approved centre.
• To make reasonable adjustments — with your explicit consent, or to meet our obligations under equality law.
• To keep records for audit, insurance and legal claims — our legitimate interest and our legal obligations.
• To send renewal reminders about training you have booked — our legitimate interest in keeping your certificates current. You can opt out at any time.

Who we share it with

We share learner information with the awarding organisation for the qualification being taken, because that is how certificates are issued and verified. Depending on the course this may be Qualsafe Awards, Active IQ, AITT, NPORS or Highfield Qualifications, each of which acts as a data controller in its own right for the records it holds.

We also use trusted suppliers who process information on our behalf, such as our IT, email and accounting providers. They act on our instructions and are not permitted to use your information for their own purposes. We do not sell personal information, and we do not share it for marketing by anyone else.

Where your employer has booked the training, we will confirm attendance and certification to them, as they need that information to meet their own legal duties.

How long we keep it

Enquiries that do not lead to a booking are kept for [e.g. 24 months]. Booking and invoicing records are kept for at least six years to meet tax requirements. Where your information is held

Your rights
